About the Job:
You will be assisting the Conveyancing department with a range of administrative tasks. This role requires a highly organised and logical individual who can provide effective support to our fast-paced, professional, and collaborative Conveyancing team. Attention to detail and the ability to manage multiple priorities efficiently will be key to succeeding in this position.

• Microsoft Office Proficiency: Experience with Word, Excel, and Outlook will enable you to perform your duties with efficiency.

• Organisational Skills: You’re adept at managing diaries, prioritizing tasks, and meeting deadlines.
• Client Relations Expertise: You remain calm and professional when liaising with clients, even when handling complaints.
• Billing Experience: Proficient in processing interim and final bills with accuracy.
• Case Management System Experience: Comfortable using systems to open, update, and close client files.
• Legal Terminology Familiarity: Your understanding of legal language will help you navigate the complexities of the role.
Key Responsibilities:
In this role, you will be integral to the smooth running of the department. Your duties will include:
• Efficient Filing: Handle filing tasks for the department and ensure documents are stored accurately.
• Post Management: Manage incoming post and allocate it appropriately to client files.
• Client File Management: Open files for all new client instructions and assist in maintaining current files.
• LMS & Lender Exchange: Take full responsibility for managing the LMS portal and the Lender Exchange platform.
• File Closures: Assist with ensuring files are closed properly and maintain a nil balance.
• Overflow Assistance: Provide support to the department with any overflow work or daily tasks.
• Holiday Coverage: Be ready to step in and cover for team members on holiday.
• Sale Files Support: Help manage sale files from start to finish, ensuring a smooth process from initial inquiry to completion.
• Sale Enquiries & Mortgage Repayments: Assist with handling sale enquiries and repaying existing mortgages.
• Exchange & Completion Assistance: Play an important role in the exchange and completion stages of property transactions.
• Completion Statements & Monies Handling: Deal with completion statements and manage completion funds.
• Client & Third-Party Communication: Coordinate with lenders, clients, and third-party solicitors, ensuring everyone is kept up to date.
• Completion Letters & Documentation: Generate completion letters and ensure all legal documentation is processed.
• Quote & Enquiry Management: Handle new and existing quotes, providing accurate information to clients.

• Client Updates: Provide regular updates to all parties involved in property transactions.
• Requisitions & Certificate of Titles: Assist with requisitions and submitting certificates of titles.
• Client Appointments & Calls: Manage appointments with clients and handle incoming calls for the department.
• File Assistance: Assist with the exchange and completion of purchase & sale files, ensuring everything is handled efficiently.
• Regular File Follow-Ups: Ensure all files are chased regularly and move forward seamlessly.
• Contract Pack Issuance: Issue contract packs for sale files and ensure timely delivery.
• Money Requests & Case Updates: Handle requests for money on account and keep cases and case owners updated.
